What we store

Your request for an invitation

Your name, email, who nominated you, your time zone, when you can meet, online, in person or either, the city if you give one, the real moment coming up, what would make it go well and what you are worried will happen, whether you can commit to 10 of 12 sessions, your pledge, and your optional answers about leading a pod and a funded place.

Your account

Your email address, your name and, if you give it, your time zone. You sign in with a link we email to you, so there is no password to store. Signing in sets one secure cookie that keeps you signed in. One account works across every club the organisers run, so if you belong to more than one, the organisers can see your records from each of them together.

Your agreement

The version of the member agreement you accepted and when, whether you gave recording consent, and when you withdrew it if you do.

Membership and payment

Your membership status, role, any role you have earned in the club such as leading a pod, your plan and whether you hold a founding rate. Payments are handled by Stripe. We keep the subscription reference and its status, never your card details.

Practice records

Your pod, attendance, weekly commitments and five-word rules, your reps and the scores given on them, your craft goal, and the real moments you log with what happened. Your scores are shown to you and the club admin. Other members see only the scores they give you.

Test videos

The clips you record at weeks 0, 6 and 12. They are kept in private storage, never as public files. Each time a clip is played we create a signed link that expires after an hour. Raters and the expert coach see a code, not your name, and the scores they give each clip are stored. The club admin can also open your clips. Weekly practice reps are not recorded unless you ask.

Emails

The messages we send you, such as sign-in links, session reminders and real-moment check-ins.

Organiser notes

The club organisers keep internal notes about members and about people who might be invited, to run the clubs and decide invitations. A note can be linked to your account.

How long we keep it

• Test videos are deleted 365 days after your membership ends.
• You can withdraw recording consent and have your videos deleted at any time.
• Applications and member records have no automatic deletion yet. They are kept until you ask us to delete them.
• Organiser notes have no automatic expiry yet.
• Fuller records kept to decide an invitation are deleted 1,095 days after they were opened or the person was last put forward, whichever is later. When one is deleted, the email address on the linked note is removed too. Ask us and we will delete them sooner.

Deleting your data

You can ask us to see or delete your application, your account, notes about you or any other record we hold about you at any time. Email hello@momentwright.hammedajibade.com from the address you used with us. We will send you a copy or delete it, and confirm when it is done.

We use these records to run the clubs and decide invitations. We do not sell them or share them for marketing.
